1. Overview

This Privacy Policy explains how Online Prospects Pty Ltd, trading as Heypa (we, us or our), handles personal information through the Heypa website, application and related services. We aim to handle personal information consistently with the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply.

By using our website or services, or by giving us personal information, you acknowledge the practices described in this policy.

2. Information we collect

The information we collect depends on how you interact with us and may include:

  • Contact and account details, such as your name, business name, email address, telephone number and login information.
  • Business and service information, including your industry, team size, enquiry volumes and information you provide when requesting a trial or support.
  • Customer content entered into Heypa, such as customer, enquiry, quote, job, invoice, payment and communication records.
  • Technical information, such as IP address, browser, device, operating system, pages viewed, referral information and service logs.
  • Communications you send to us, including contact-form messages, support requests and feedback.

We collect information directly from you, through your use of Heypa, from authorised users of your business account and, where lawful, from service providers and public sources.

3. How we use information

We may use personal information to provide, operate and improve Heypa; create and secure accounts; respond to enquiries and support requests; process subscriptions and payments; send service notices; personalise onboarding; prevent fraud or misuse; meet legal obligations; and send marketing communications where permitted. You can opt out of marketing messages at any time using the unsubscribe instructions provided.

4. When we share information

We may disclose information to people authorised by your business and to service providers that help us operate Heypa, including providers of hosting, data storage, form processing, communications, analytics, payment processing, customer support and embedded media. Our website currently uses SmartFormify to process submitted forms and Vimeo to provide customer-review videos.

We may also disclose information where required or authorised by law, to protect our rights or users, in connection with a business restructure or sale, or with your consent. Some providers may store or process information outside Australia. Their locations can change, and we take reasonable steps to use providers with appropriate privacy and security protections.

We do not sell personal information.

5. Cookies and embedded content

We and our service providers may use cookies, local storage and similar technologies to maintain sessions, remember preferences, understand website use and keep our services secure. Embedded content, such as Vimeo videos, may also set or read technologies under the provider’s own privacy terms. You can restrict cookies through your browser, although parts of the website or application may then work differently.

6. Security and retention

We use reasonable administrative, technical and physical safeguards designed to protect personal information from loss, misuse, interference and unauthorised access, modification or disclosure. No internet service can guarantee absolute security.

We retain information for as long as needed to provide our services, meet legal and accounting obligations, resolve disputes and enforce agreements. When information is no longer required, we take reasonable steps to delete it or de-identify it.

7. Access, correction and your choices

You may ask to access or correct personal information we hold about you. You may also ask questions about deletion, withdraw consent where processing relies on consent, or opt out of marketing. We may need to verify your identity and, in limited circumstances permitted by law, may refuse a request and explain why.

If you provide Heypa with personal information about another person, you are responsible for having authority to do so and for giving any notices required by law.
